Photocopying Regulations and Fees

NOTICE: WARNING CONCERNING COPYRIGHT RESTRICTIONS

The copyright law of the United States (Title 17, U. S. Code) governs the making of photocopies or other reproductions of copyrighted material. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, and research." If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement. This institution reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of copyright law.

Regulations:

The Social Welfare History Archives will make and provide photocopies or photographic reproductions of items in its collections as a service and convenience to users. Provision and subsequent use of duplicates is subject to the following restrictions:

1. The Archives reserves the right to restrict copying, subject to conditions such as the fragility of the originals, the amount of staff time required to do the work, restrictions specified by the donor, or provisions of the copyright law.

2. Archives staff members will make all photocopies. Use of personal scanners is prohibited. Contact the archives regarding cameras, digital cameras, and video cameras.

3. Duplication by the Archives does not transfer either copyright or property right, nor does it constitute permission to publish in excess of "fair use" or to display materials. The user is responsible for obtaining such permission.

4. Copies are made for personal use only. They may not be transferred to another person or institution without prior written authorization.

On-site Photocopying

Rate: Requests of up to ten copies will be provided to reading room users at no charge. Larger requests will be done for visitors at a charge of $.25 per page if items are specified in accordance with the photocopy request form.

Multiple small orders will be recorded on a log and the final amount billed at $.25 per page.

Fragile, bound, or oversized materials will be copied at a fee of $.35 per page for 8"x11" copies or $.50 per page for 11"x17" copies.

Time required: Orders will be filled as staff time permits. Patrons may arrange to pick up photocopies or have them shipped.

Mail and Telephone Photocopy Requests

We will fill requests that can be made with sufficient specificity, e. g., a particular document or the contents of a specified folder. In cases where a request would require substantial amounts of search time we will provide, on request, names of persons available to conduct such research on an hourly-fee basis. We will also provide, on request, estimates of the number of copies involved in a particular request.

Microfilm Duplication

Requests to provide microfilm copies of documents are handled in cooperation with a private microfilm laboratory. We reserve the right to refuse requests to microfilm widely scattered materials. We will provide estimates upon request.

Photographic and Digital Reproductions

Requests to provide photographic reproductions of existing photographs, posters, or documents are handled through the University's Digital Collections Unit. Black and white prints (5x7 or 8x10) and 35 mm slides can routinely be handled within a five-day turn-around. Color and/or large-format prints require special handling. Inquire for rates.

Billing Procedure

Bills for all duplication services will be provided at the time orders are filled and are payable on receipt.
